Congress Charter
This regulation is of a general nature and applies to the EX-SITU conference.
The EX-SITU conference will be held on June 28 and 29, 2025, at the ODEUM conference hall in Carcassonne (11), located at 4 Place Jussieu, 75005 Paris. It is organized by the association Odyssée des Terres Inconnues.
The event will open to the public at 8:15 AM and close at 6:00 PM. Any changes to these hours before the event will be communicated to you by email. Visitors will be asked to leave the venue by 5:00 PM on Sunday.
By accepting our general terms and conditions of sale, the participant agrees to all regulations and those that may be imposed due to specific circumstances or new requirements. The participant further agrees to comply with all applicable legal and regulatory provisions outlined below.
ARTICLE 2 – ACCESS TO THE EVENT
2.01 “Pass” wristbands granting access to the event will be issued to visitors on the day of their arrival in exchange for the event purchase invoice, under conditions determined by the organizer.
2.02 Access to the event is strictly prohibited for dogs and other four-legged animals (except with special permission). Failure to comply with this rule may result in the expulsion of the owner and the animal from the event.
2.03 Participants should be aware that the entire event, including all conferences, may be filmed during the event. By purchasing a PASS RR3 or RR4, the public acknowledges that they may appear in images, videos, or films produced after the event.
Individuals who do not wish to be filmed are invited to purchase a PASS RR2. They will also be informed upon arrival, via signage and announcements in the conference hall, of the rows that will not be subject to public filming.
ARTICLE 3 – PARKING
No parking areas or parking facilities will be provided on-site. Visitors are responsible for making their own arrangements for parking their vehicles. Any fines or penalties occurring during the event will not be the responsibility of EX-SITU.
ARTICLE 4 – INTERNAL REGULATIONS
4.01 The organizer reserves the right to refuse entry or expel any person whose presence or behavior could harm the safety, tranquility, or reputation of the event.
4.02 Signs and Posters. It is forbidden to place any advertising panels or signs inside the event venue that have not been approved or accepted in advance by the organizer.
4.03 Hygiene and safety regulations must be followed according to current regulations. In line with the prevailing health measures, visitors may be asked to comply with preventive actions and health barriers (such as wearing a mask) if the situation requires it.
4.04 For safety reasons, smoking is strictly prohibited in the reception area and the conference hall. Additionally, the following are strictly prohibited within the event venue: cannabis and other narcotics. Alcohol brought from outside will also be banned.
4.05 Music Instruments. To avoid disrupting the conferences, it is prohibited to play musical instruments within the conference space, unless prior authorization has been granted.
4.06 Filming and Video Recording. Unless given exceptional permission, it is strictly forbidden to film any conference or make video recordings within the conference venue during the weekend.
ARTICLE 5 – ENFORCEMENT OF THE CHARTER
Any violation of the provisions set forth in this document, as well as any provisions regulating the safety of the event, may result in immediate, temporary, or permanent exclusion from the event, as determined by the organization.
